MSU Genesee County Alumni Assoc. Meeting Minutes - Wednesday, June 20

 

Attendees:  Mike Symons, Scott Odette, Mike LaHaie, Chris Odette, Jim Crawford, Sara Holaly, Jim Williams, Dan Conquest, Kevin Snyder, Rob McColgan,  George Liljablad  (Sorry for any spelling errors)

 

Summer Party Update

1.      Things that are done…

A.       Woodfield facility is secured for July 11.  British Open buffet has been chosen as the dinner which is includes hot dogs, hamburgers, chicken breast, tossed salad, potato salad, chips, baked beans, cookies and brownies, ice-tea ,lemonade, soft drinks and coffee.  (same as last year.)

B.      Special guest: Defensive coordinator from the football team, Pat Narduzzi will be at the event.  We are hopeful that Head Football coach, Mark D’Antonio will also attend.  A representative from the Basketball program will also be there.  The Spartan Cheerleaders are confirmed.  Sparty is confirmed.  Taryn Asher from TV12 is confirmed as the MC for the event.

C.      Raffle Tickets have been printed and distributed.  Prizes have been secured.

 

2.       Assignments the night of the event…

A.      Mike Symons will not be able to attend the party.  Chris Odette will get up and “kick off” the evening.

B.      Jim Williams & Dan Conquest will run the 50/50 raffle.

C.      Mike Jablonski will be the auctioneer for the “Live Auction”.  Chris Gleason will organize the “Live Auction”.

D.      We will need 4-5 people at the registration table to collect $15.00 from everyone that comes in.  We will need to keep this moving smoothly so we do not end up with a bottle neck coming down the stairs.

 

3.      Things that still need to be done….

A.       Publicity – contacting local news papers, TV stations and sending e-mail invitations – SARA HOLALY

B.      Make sure this year’s scholarship winners and their families are invited – BILL MILNE

C.      Contact Dave Broadstreet about decorations & Live Action prizes – JIM WILLIAMS

D.      Contact Dave Durant about ice cream at the event – JIM WILLIAMS

E.       Get signed footballs for the Live Auction – JIM WILLIAMS , MIKE LAHAIE

F.       Secure a “good” sound system for the event – MIKE LAHAIE

G.      Contact Dave Brown about 501-C3 Non Profit Status and sending an e-mail to Alumni in Genesee county – MIKE SYMONS

H.      Secure additional items for the Live Auction, i.e.: Foursome of golf at local courses, signed memorabilia etc… – EVERYONE

I.        SELL RAFFLE TICKETS! – EVERYONE

Michigan State Genesee County Alumni Association Board Meeting Minutes April 18, 2007

 

Attendees: Mike Simmons, Bill Milne, Chris Odette, Scott Odette, Jim Crawford, Jim Williams, Tim Bokrakos, Mike Jablonski, Judge Gadola, Mike LaHaie (10)

 

1.       Date for Summer Party.  We do not have a date from the football office yet.  We have asked for a weekday in July, and they have indicated it should not be a problem.  They told Mike LaHaie they would get him a date in the next few days.  As soon as Mike gets a date from them he will send everyone an e-mail, and book the date at Woodfield.

2.       Raffle Prizes for Summer Party.  Scott Odette has been working hard at identifying the prizes. The “tentative” list of prizes are:

1st Prize – Sports Package with tickets to MSU home games, and a 60” Plasma TV to watch away games.  (Or Cash as an option)

2nd Prize – 2 Tickets on 50 yd line for Northwestern football game, two nights stay at the “Wild Goose” bed & breakfast, and food for the weekend.

3rd Prize – Dell Laptop computer

4th Prize – TO BE DETERMINED

5th Prize – Foursome at Woodfield Golf Course .

                Additional prizes are needed for the raffle and the auction.  We need to do a better job this year           accounting for all prizes, and making sure that all winners or purchasers in the auction receive                       their prizes after the event.

3.       Scholarship update.  All packages were sent out over a month ago.  We have had 1 application returned at this time.  Bill Milne said some applications had been submitted through MSU.  Those applicants were told to reapply directly through the Alumni Association.  Deadline to Apply for the scholarships is April 27th.  We will set a date to review the applications and choose the scholarship winners once they have all been received.

4.       Guidelines for being a participating board member.  Mike Simmons briefly discussed moving away from the “point system” that had been in place the past couple of years.  He will put together some guidelines that outline what is expected of participating board members.  These minimum requirements will need to be met in order to be involved in the purchase of the board’s basketball tickets in the Fall.

5.       Application for National Alumni Association.  We were too late in submitting Mike Jablonski’s application to sit on the National Alumni Association.  We will make sure we are on time with the application next year.

6.       Mike Jablonski offered Brick Street for social outing.  Mike thought it would be nice to have a social event with board members and their significant others for cocktails some evening.  No date was set, but we should follow through a set a date in the near future.

1.  Summer Party
  A.    Discussed potential prizes for the raffle...ranged from weekend trips to football ticket packages.  Scott Odette will "head up" the prize ideas.  Nothing firm was decided on.  Please e-mail any ideas you may have regarding prizes to Scott at
webmaster@msugcaa.com before the next board meeting on April 18th.  We will need to finalize the prizes for the raffle at that meeting.

   B.   Potential Headline guest for the Summer party
       
1.  Tom Izzo - Brenda Goyette has calls into the basketball office.  Now that the tourney run is over we hope to hear back from them.

        2.  Mark Dantonio and the football staff - Mike LaHaie will get in touch with the football office and try to get a date in July or early August.  I will have an update at the next meeting.

        3.  Cheerleaders, Sparty and past & present players - Mike Symons will have the cheerleaders and Sparty lined up.  We need a group effort to get past & present players.

  C.    Location of the summer party was discussed and it was decided we will have the event at Woodfield again in 2007.  Once we have a date for the Headline Guest, Mike LaHaie will book the event with Woodfield and work out the arrangements.  Suggestions were made that we do not want the food in the middle of the floor again in front of the podium.  We also need to make sure we have a better sound system.

2.  Mike Jablonski brought up the fact that nominations were due for the National MSU Alumni Association, and the group felt our organization should have representation.        

     Mike Jablonski was selected by the attendees as our nominee from Genesee County.

3.  Dan Conquest was absent from the meeting so no financial review was given.

4.  Scholarship update - all packages have been sent out to the local high schools as of the meeting.

5.  New Business - Mike Symons discussed the "point system" we have used for board members as it relates to basketball tickets.  We would like to move away from tracking peoples' participation as board members and allow those who do participate in the meetings, and help plan the events to have the opportunity to purchase the basketball tickets.  This will be discussed further at the next board meeting to see if a new, simpler system can be put in place.

The next meeting will be held at 6:00PM on April 18th in the Birch room at Genesys.

Scholarship Discussion - The board voted to maintain a total of 5 $1500 scholarships including 1 minority. Also, the Kraft Scholarship will be awarded for a total of 6 scholarships for the year 2007.

Mike Lahaie will transition into the Scholarship Chairman position next year. Scott Odette has added the scholarship info to the MSUGCAA website.

Listed below are the main items that were discussed at the meeting:

1. New Board Members - Scott Odette and Wes Nolde were voted in as members
of the board.


2. 2006 Brad Becker Golf Outing Update presented by Chris Odette and Jon
Hartman. The golf outing event occurred September 11, 2006 and it was a very
successful event. There were 19 groups and 20 golf hole sponsors. Scott
Odette, MSUGCAA Webmaster, was at the event and took a lot of great

There were at least eight board members (most with
their spouses as a partner or opponent) at the event and they will all
attest that it was a well-organized and fun outing. Good job to the event
coordinators Chris Odette and Jon Hartman; and to the Brad Becker family.


3. MSUGCAA Distribution List/Database - review of distribution list was
conducted by all members present. The data base review will occur at every
meeting in an effort to expand and purge the database of erroneous
information.


4. Points Tracking List: Mike Symons reviewed the status of the MSUGCAA
points tracking list and how it relates to MSU Men's Basketball Ticket
Purchases. The list is attached and has been updated to include the  Brad
Becker golf outing event participation and the points for the MSUGCAA
website Webmaster (Scott Odette).


5. Sparty Raffle Night Party - Mike Lahaie volunteered to be the Facility
coordinator for the 2007 Sparty Party. It was agreed by those present that
the event should take place at one of the following venues:
- Woodfield
- Genesys Banquet Facility
- Holiday Inn
- Atlas Country Club
- Warwick Country Club
          Capacity, cost, availability will all be deciding factors.
- The sound system will be improved. Dave Brown, MSUAA, has volunteered the
MSUAA  wireless system (with microphone and speakers) for next year's event
and at no cost. This is an audio system designed for a group of  2,000.
- It was agreed that the cheerleaders and Sparty would be procured for next
year's event.
- Raffle Grand Prize - the club will explore grand prize options outside of
the Buick Open Pro Am spot. Travel package, football suite usage, MSU team
travel package, etc.

The next meeting is scheduled for Tuesday October 3, 2006 at 5:45 and the
location is the Genesys Birch Room.

To all board members,

I just wanted to send a short note letting everyone know that they did an
excellent job with the "Spartan Party." This was truly a team effort and
everybody came through in a big way. Thank you, Thank You, Thank you.

We've had an unbelievable positive and enthusiastic response related to the
event. Numerous people have expressed gratitude towards coach Smith for
being at the party, Sparty, the live auction, our MofC Taryn Asher, the
scholarship winners, the location, the green and white ice cream form Uncle
Ray's, the great prizes, and most of all the platform that provided them the
opportunity to spend time with other Genesee County Spartans. Basically,
everybody in attendance had a great time and they can't wait for next year's
event. I think it goes without saying that there is a little bit of pressure
on us to have a bigger and better event next year. I feel we have the Big Mo
and we're going to run with it. We'll start planning for the 2007 event at
the next meeting along with a discussion related to the September golf
event.

250 - 300 Estimated number of people at the party.
129           Buick Open raffle tickets sold
$2380      Revenue collected during the live auction portion of the program.
75             Estimated number of kids at the party.
89             People that paid $10 to attend event.
$1170      Revenue collected from the sale of raffle tickets at the party
(good job Dan, Jim, and the father/daughter Snyder team).
$8675      Profit generated from the event (revenue - expenses).
